First contact & chatbot

Some of the requests arriving daily by email or through the website simply repeat: opening hours, prices, processing status, which documents are needed for a case. Each answer is quickly written; together they consume time that daily business needs elsewhere.

A chatbot catches that share. It answers frequent questions directly, collects structured information about the request, and hands over to a human as soon as it goes beyond the standard case.

What a chatbot can do

Answer standard requests, independent of office hours. Collect up front the details your team would have to ask for anyway: who is asking, what it is about, which data is available. And hand the case over prepared, so nobody starts from zero. That helps most in teams where the same five questions fill the inbox.

Where the limit is

No bot solves real customer problems. As soon as a case requires judgment or a customer is upset, a human has to take over: escalation belongs in the concept from day one, not as a patch afterwards. A chatbot also needs guardrails: what happens without them is illustrated by Chipotle’s chatbot Pepper, which suddenly answered programming questions instead of order queries. In B2B there is one more limit: a chatbot does not replace a consulting conversation, at best it prepares one.

How I work

First, the actual requests are analyzed: which questions come in how often, and which can be answered with clear rules? That defines the scope of the bot, tested against real requests from your inbox. Whether the case pays off is calculated beforehand, as with every AI automation project. Combining it with data processing & document capture is often useful, so collected details land in your systems instead of another inbox.
